Default Early Hotel Check In

I could spend an hour digging through the contract but figure somebody here will have the answer in 1 second. If I deviate and arrive early can I check into the hotel ahead of the scheduled time? My scheduled DH gets me to the hotel around 2 pm (Dulles). I'd like to just one leg it on our jumpseat and get in around 6:30 am. Do I need to do anything "special" with the hotel? What if I jumpseat a day prior in the evening? Thanks for your collective expertise!

I have gotten to a hotel early on the same day of the scheduled arrival and not had an issue checking in early. Usually, I arrrive around noon to 2pm and we weren’t scheduled to be there until 6pm or so. No issues, though it was not IAD. It’s up to the hotel.


If you want to show up the night before you need to make arrangements with the hotel and you’ll have to charge and expense. I’ve done that and usually you don’t get the same rate the coming is paying, but some other discounted rate. You can expense the cost of the room up to the what the company pays for the contract rate in that city.

Showing up at 6am when your aren’t scheduled to arrive until 2pm would be up to the hotel. You would want to call and see what they would do.

In all cases if the hotel wants to charge you for showing up early, the pilot is responsible for the cost out of their bank or pocket via expense report.

It all depends on the availability of rooms and of course it really helps if you call the hotel ahead of time and give them a heads up and get a name if they have no problem with it while you are on the phone ............ always get a name
